These terms and conditions form a legally binding agreement between Mountain Adventure Trekking and the client ("you"). By booking a trip with us, you agree to adhere to the following terms and conditions. Please read them carefully before confirming your booking.
1. Booking Process
Bookings can be made through our official website or via authorized third-party platforms.
All trip prices are quoted in USD. If payment is made in a different currency, the conversion will be based on the exchange rate provided by Nepal Rastra Bank on the transaction date.
A 30% deposit of the total trip cost is required to secure your booking. This deposit is refundable only if cancellation is made at least 21 days prior to your scheduled arrival date.
The remaining balance must be paid:
During the pre-trip briefing upon your arrival in Nepal, or
In advance via bank transfer or credit card before your arrival.
2. Last-Minute Bookings
For trips booked within 10 days of departure, full payment is required at the time of booking. Please note that this payment is non-refundable.
Availability for last-minute bookings is not guaranteed and will depend on operational feasibility.
3. Payment Options
We offer multiple payment methods for your convenience:
Bank/Wire Transfers: Bank account details will be provided upon request. Any associated transfer fees are your responsibility.
Credit/Debit Cards: Payments can be made using Visa, Mastercard, or American Express. A processing fee of 4% will apply.
Cash Payments: Cash payments are accepted in USD, EUR, GBP, AUD, CAD, etc. For USD payments, only bills issued after 2009 and in denominations of $50 or $100 will be accepted.
Cancellation and Refund Policy
To cancel your trip, please send us a valid written notice via email at least 21 days before the trip departure date. We can only process cancellations with proper notice and approval.

If you cancel your trip 21 days before your arrival date, we will deduct 30% of the total trip cost as a cancellation fee and the remaining amount will be refunded to you.
If you cancel your trip 14 days before your arrival date, we will deduct 50% of the total trip cost as a cancellation fee and the remaining amount will be refunded to you.
If you cancel your trip less than 14 days of your arrival date, we will deduct 100% of the total trip cost as a cancellation fee.
If you need to file a claim with your insurance company due to cancellation, we can assist you by providing supporting document, such as a receipt of the funds paid.
Note: In refund cases, banks may deduct a certain amount as refund fee from the refund amount.
5. Rescheduling Policy
If you wish to reschedule your trip, written notice must be provided at least 21 days prior to the original departure date.
A rescheduling fee of USD 200 per person will apply for changes such as postponing, advancing dates, or transferring the booking to another individual.
If transferring your booking to another person, it is your responsibility to find a replacement traveler.
6. Incomplete Trips
The Company does not provide refunds for any unused services (e.g., meals, accommodations) if you are unable to complete the trip for any reason. Similarly, if you engage in unlawful behavior during the trip resulting in early termination of services, no refunds will be issued.
7. Passport and Visa Requirements
You must possess a valid passport with at least six months of validity remaining beyond your return date. Nepalese visas can be obtained upon arrival at Kathmandu Airport or through Nepalese embassies/consulates in your home country. Visa fees are your responsibility.
8. Unforeseen Circumstances
We strive to ensure smooth operations; however, certain events beyond our control may require changes to itineraries or services. These include but are not limited to:
Adverse weather conditions
Natural disasters (e.g., landslides, floods)
Political unrest
Flight delays/cancellations
In such cases, any additional expenses incurred (e.g., alternative transportation) will be borne by you.
Unforeseen Circumstances Disclaimer
Sometimes things happen that we can't control. When this occurs, we might need to change your trip plans. Here's what you should know:

Bad weather (like heavy rain or snow)
Natural events (like landslides or floods)
Problems in the country (like protests)
Delayed or canceled flights
What This Means for You
If any of these things happen:
We might need to change where you go or what you do
You might need to pay extra money for different transportation or hotels
We will try our best to help, but we cannot pay for these extra costs
Think of it like a rainy day changing your picnic plans - we'll help find another solution, but we can't control the weather.
Remember: It's smart to get travel insurance to help cover any surprise costs during your trip.
9. Risk Acknowledgment
Adventure travel involves inherent risks such as physical injury, illness, or property loss due to factors like high-altitude environments or natural forces. By participating in our trips, you acknowledge these risks and agree that Mountain Adventure Trekking, its staff, and affiliates are not liable for any damages or losses incurred during the journey.
10. Travel Insurance
It is mandatory for all clients to have travel insurance covering:
Medical emergencies
Trip cancellations
Helicopter evacuations
Personal accidents
Proof of insurance may be requested prior to trip commencement.
11. Domestic Flights Delay/Cancellation and Helicopter Services
Flights in mountainous regions are often subject to delays due to weather conditions. If flights are canceled or delayed, you may need to use helicopter services at an additional cost shared among passengers (up to five individuals). These costs are not included in the package price and must be covered by you.

12. Health and Fitness
Clients must ensure they are physically fit for their chosen activities. We recommend consulting with a physician before undertaking high-altitude treks. Any pre-existing medical conditions should be disclosed during booking.
Children
Participants under the age of sixteen (16) must be accompanied by a legal guardian or parent.
13. Privacy Policy
We respect your privacy and ensure that personal information collected during booking is used solely for operational purposes (e.g., permits). Your data will not be shared with third parties without consent unless required by law.
14. Publicity Consent
By participating in our trips, you grant us permission to use photographs or videos taken during the journey for promotional purposes without requiring additional consent or compensation.

15. Acceptance of Terms
These terms and conditions apply when you book the trip directly with us. If you book our trip services through a third party or any agents, you are also subject to their terms and conditions in addition to ours.

17. Legal Framework

Remember: By booking with us, you agree that any disputes will be resolved right here in Kathmandu, where our main office is located.
Think of it as having a home court - everything gets sorted right here in Nepal, under Nepali law.
